What each option actually is
An outsourced SDR or appointment-setting service puts their people, their data and usually their tools on the job of booking meetings for you. You pay a monthly fee, sometimes per meeting. It can produce calendar time quickly. What you don't usually get is the list, the sequences, the reply history or the lessons learned, because those live in the provider's systems.
A managed GTM system is the machinery behind the meetings, installed in your own CRM and tools, and run for you every month: target accounts, buying signals, verified contacts, outreach with reply triage, meeting notes, pipeline hygiene and renewals. Your team still has the conversations. Everything the system learns stays in your accounts.
How they compare
| Question | Outsourced SDR or agency | Managed GTM system |
|---|---|---|
| What you pay for | Meetings, or their team's time | A working system and its upkeep |
| Where the data lives | Often in the provider's tools | In your CRM, with licenses in your name |
| Who talks to prospects first | Their reps, in your name | Your team, with drafts prepared for them |
| What happens when you stop | Meetings stop; the machine leaves | You keep the system, the data and the playbook |
| What you can see | Usually the meetings booked | Every signal, reply and step, in your CRM |
What the alternatives cost
Published ranges vary widely, so treat these as a guide rather than quotes.
- An in-house SDR: $110,000–173,000 a year fully loaded, plus a 3–6 month ramp (Glencoco 2026).
- A managed outbound agency: $60,000–180,000 a year (Modern Inbound).
- MSP marketing agencies such as Marketopia, Jumpfactor, Tech Pro Marketing and Pronto: $500–20,000 a month, covering websites, SEO, content and appointment setting. Full-service appointment setting from firms like Martal sits within $5,000–20,000 a month (Martal).
- Fractional RevOps: $5,000–18,000 a month, usually with a 3-month minimum. Deep systems and reporting work, but typically no outbound execution (Prospeo).
- GTM consultancies: $3,500–10,000 sprints, or $10,000–40,000 a month. Strong on strategy and playbooks; they advise rather than run (Prospeo).
- AI SDR software such as 11x and Artisan: $30,000–60,000 a year; AiSDR $900–2,500 a month. One vendor-blog estimate says 50–70% of teams using AI SDRs churn within 90 days, so treat that figure with care (Prospeo). Software without someone running it tends to stall.
A full Closerloop system costs about $34,000–72,000 in year one, including the build. See what a managed GTM system costs for the detail.
When an outsourced SDR is the right call
Be honest about what you need. An appointment-setting service can make sense if:
- You need meetings in the next few weeks and have no time to approve anything
- You're testing a new market and don't want to invest in a system yet
- You don't mind that the list and the learning stay with the provider
When a managed system is the better fit
- You already pay for a CRM, an email tool or a data source, and they don't connect
- Your reps prospect inconsistently and the CRM is out of date
- You want your own team, who know your services, to have the first conversation
- You want to keep what you build if you ever change provider
- You sell in markets where specific events, like a new office or a newly served network area, create demand
Questions to ask any provider
Whichever way you go, these questions separate a system from a black box:
- Where do contacts, replies and meeting notes live, and can we export them?
- Whose name are the licenses and sending domains in?
- How do you verify email addresses, and what bounce rate do you hold to?
- Who approves a message before it goes to a prospect?
- What does "live" mean in your contract, and what happens if you miss it?
- What do we keep if we leave?
Where Closerloop fits
We're a managed GTM system for US IT and telecom service providers. We install a seven-stage system in 30 days, in tools you own, and run it every month. You approve every enrolment and first send. If it isn't live and producing signal-led outreach within 30 days of you granting full tool access, the next month is free; that promise covers delivery, not your close rate.
We're new, and we don't have case studies yet. That's why the first step is free and shows you real output on your own market.
