What does a managed GTM system cost?

Closerloop team, published

Short answerCloserloop's managed GTM system starts at $1,000 a month for growing firms with 1–4 sellers and $2,500 a month for larger sales teams, plus a one-time build. A full system costs about $34,000–72,000 in year one, compared with $110,000–173,000 for one fully loaded SDR.

The packages

All prices are in US dollars. Each package is a fixed scope with a written definition of "live". We are taking Launch and Core clients now, on licenses the client holds. Growth and Full open next, once our first clients have run them.

PackageSellers includedBuildMonthly
Launch1–4$2,000–3,000from $1,000
Core5from $4,000from $2,500
Growth (next)8from $7,000from $3,500
Full (next)16from $10,000from $5,000

The seven stages are: 01 ICP and targets, 02 signals, 03 enrich and verify, 04 engage with reply triage, 05 meet and capture, 06 pipeline hygiene, 07 close and expand. Launch and Core cover stages 01–04, the outbound engine. Growth adds meeting capture, nightly hygiene and a weekly brief. Full adds close plans, renewals and the manager and owner views.

What changes the price

Your tools

Each package includes a set number of sellers. Today you hold the licenses and pay each vendor directly; we implement and run them. Each extra seller is $85 a month, so the fee only grows when your team does. When we supply the tools ourselves (next), extra sellers will be $125, which covers licenses such as a CRM seat, and Launch and Core will cost the same as today. A hybrid setup, where we keep what works and add what's missing, gets a credit only for the licenses you already pay for. Connecting a tool we don't support yet is quoted separately: a one-time build plus monthly upkeep.

Migration

Migration is priced up front, as part of the build:

  • Light: under 5,000 records, one source, no custom fields. Included.
  • Standard: one CRM or PSA sales module, deduplication, history, custom fields mapped. $1,500–3,000.
  • Complex: several sources, years of history, integrations rebuilt. $3,000–6,000, scoped in the diagnostic.

Triggers

Core and up include 5–8 buying triggers agreed with you. Launch includes up to 3 standard triggers. A custom trigger that needs a new data source costs $500–1,500 to build, and we confirm it's feasible before promising it.

What the monthly fee covers

You're paying for a system that keeps running and keeps improving, not for hours:

  • Scheduled agents, monitored, with failures fixed the same business day
  • Data refresh and email verification within package limits
  • Deliverability: domain health, inbox warmup and a monthly placement test
  • A weekly learning loop and a monthly report against your day-0 baseline
  • Playbook and message updates as the system learns
  • A set number of small changes each month (1 on Core, 2 on Growth, 3 on Full), each about an hour of work, no rollover
  • User admin, a quarterly business review, and replies within one business day

New modules, new integrations, migrations after go-live and one-off projects are quoted separately as change orders. The people who use the system also need Claude seats (your own licenses from Anthropic) and a business phone line that logs to HubSpot (your own system if it syncs, otherwise Quo Business at about $23 per user a month); we include them in the stack audit so the full cost is clear before you sign.

How it compares

AlternativeCost per yearSource
One in-house SDR, fully loaded$110,000–173,000Glencoco 2026, plus a 3–6 month ramp
Managed outbound agency$60,000–180,000Modern Inbound
Fractional RevOps$60,000–216,000Prospeo, 3-month minimum
Closerloop, year one$34,000–72,000Including the build

A useful way to check the value: for a sales team of five, the number Core includes, if each seller spends four hours a week on lists and research at $60 an hour, that's about $58,000 a year of selling time (5 × 4 hours × 48 weeks × $60). Those are our assumptions; put in your own numbers.

Contract terms

  • Initial term: six months.
  • Renewal: 12 months with a price lock, or 24 months with a bigger one. Without a renewal, month to month at list price with 60 days' notice either way.
  • Price changes: capped at 5% a year for clients on annual terms.
  • Discounts: only in exchange for a case study, annual prepay or a referral.
  • The guarantee: if the system isn't live and producing signal-led outreach within 30 days of you granting full tool access, the next month is free. The clock pauses for delays on your side or vendor outages. It covers delivery, not your close rate.

Ways to start

  • Pipeline Preview, free: 25 accounts in your market showing buying signals, with verified decision-makers and an opening line for each, walked through on a 20-minute call.
  • Diagnostic, $1,500–2,500: a funnel review, an audit of the tools you own, a GTM readiness score and a written plan, credited to the build if you go ahead within 30 days.

Questions to ask any provider about cost

  1. Is the price for hours, or for a defined scope with a written definition of "live"?
  2. What's included in migration, and what costs extra?
  3. Whose name are the licenses in, and what do we keep if we leave?
  4. What isn't included in the monthly fee, and how are small changes handled?
